Tutorial: Learn How to Create Pivot Table in Excel

Greetings to you and welcome to my tutorial post again. Firstly, I sincerely appreciate your time, support and prayers for without you here this post will be meaningless. Today, I find it very necessary to share with you another interesting topic in Excel which I have titled: Learn How to Create Pivot Table in Ms. Excel.

The essence of this tutorial, is to equip you ahead of time should incase you find yourself working in an organization that required you to analyse a very large amount of data that will produce a report that is easy to read and understand by clients, board of directors, government and even the public at large.

You never can tell what the future have for you. In order for me to start preparing you ahead as a kids for the future, I have taken it upon myself that in every week I will be giving out a tutorial in Excel. So far so good I thank God that we are moving ahead.

Okay kids, let's take a quick look at Pivot tables in Excel. Pivot tables in Excel is what allow us most especially those that are usually analysing accounting data to produce report that can be read and understand by everyone in accordance to the requirements of the organization. Alright, in this case let's take a proper look at what is a Pivot Table.

What is a Pivot Table?

Okay kids in Excel, Pivot Table is known as a summary of a very large dataset that always includes the total average, figure, maximum, amount, sum and so on. For example, let's assume that you have a sale data for different countries, with the help of a pivot table, you can be able to summarize the data by country and get to know the average sales per country, the minimum sale and maximum sale per each country and the state in the country.

Alright kids, you can now see how pivot table is very important when working with a very large amount of data. As I have earlier said, you never can tell if tomorrow you might be opportune to be working in a very big multinational organization where you become the accountant, analyst etc. The truth is that pivot tables allow us to be able to analyse, summarize and show information that are only relevant (i.e important) in our reports for a proper presentation. I my discussing too much here?

How to Create Pivot Tables

Okay kid let's take a good look at how we can create a very simple Pivot tables using the sample of a sale data of ABC Ltd company database below.

You can input the data above into you Excel.

Looking at the screenshot above, we can see that there is a lot of data that is contains in the spreadsheet. Now in this tutorial let's assume that you want to create a very simple summary of your customers and the group of all their orders according to their products, together with their unit price, quantity, and total amount for all their transactions. Okay kids at this point, what you're to do is to follow the steps below;

  • Open your Excel, input the data from the sample above,(i.e you can still create your own data) and click on file

  • After you have imputed your data, then click on INSERT tab that is located at the ribbon.

  • Click on PivotChart and select Pivot chart & Pivot Table as shown below

  • After you have click on PivotChart and Pivot table, the window below will then appear on your screen.

  • If you see the window above, on your screen click on the select table/range button and click on Ok.

  • As soon as you have clicked on ok, you will see the a small window that will appear on your screen as shown below.

  • On your data, click in A1 cell address

  • Press your Ctrl + A on your keyboard to select all the data cell

  • Once you have done that you will get to see the result as shown below.

  • Click on the close button tab so you can get back to the option window before clicking on Ok.

  • Click to select nthe following underlisted fields;
  1. Name of company
  2. Name of product
  3. Unit price
  4. Quantity
  5. Sub Total

Point to note; The data above, has already been grouped by the name of company, name of product, unit price, quantity and sub Total amount.

If you take a look well, you will get to see a drop down button that is close to the Rows Labels that allows us to filter out data so easily. Now let's assume that will only need data that is in Alfred's Futterkiste. What you should do is go click on the Row Label drop down as it's shown from the screenshot below.

  • Remove all the stick from the select All and

  • Select Alfred Futterkiste and click on your ok button.

  • Once you have click on Ok the results below will then appear on your screen

Visualizing pivot table data by using charts

Let's take a look at visualizing our pivot table data with the help of chart.

Now kids, if you are using Microsoft Excel 2013, you do not have to worry yourself as chart has already been created automatically.

Looking at the screenshot above, you can see that Excel 2013 has already created a simple pivot chart for base on the data that we selected earlier.

Conclusion:

Okay kids, for now we have come to the end of our tutorial. From the beginning of this tutorial I earlier said that, pivot table and chart allow us to be able to summarize and analyse a very large amount of data.

With this tutorial, I believe you can now summarize large data and make it so simple for everyone to understand.
