You must have read an instruction manual, an assembly guide or a product manual. And these are probably technical writers who wrote these contents. Technical writing involves writing documentation about instructions or processes. The result is neither literary nor entertaining: the goal is to provide clear and concise information to the reader. Having strong technical writing skills is an essential skill for instructional designers, as much of their work involves passing information to learners in a way that is easy to follow and understand.

Let's look at some practical tips that you can apply the next time you have a technical text to produce.

Be neutral

There are many ways to keep your writings neutral, without the reader feeling who wrote the text. First, do not write to the first or second person. It means that you do not have to say "I", "you" or "us".

For example, instead of writing:

Then you have to click in the Comments field and paste your comments.

Write instead:

⚬Click on the Comments field.
⚬Paste the comment.

You see that the second example is more direct than the first. I also chose to make two sentences that start with an action verb.

Another way to prevent your tone from being too personal is to avoid using specific people names in your texts.

For example, instead of writing:

Send e-mail to Jeanne Martin of the Marketing Department.

Write instead:

Transfer the email to the Marketing Department.

This allows you to not write things that will be obsolete if, for example, Jeanne Martin leaves the company or changes jobs.

Be clear and concise

To make sure your writings are easy to follow, it is essential to be as clear and concise as possible. Get rid of all useless, descriptive or subjective words. Be specific and detail your explanations. The instructions you provide should not leave room for doubt among your learners.

Use visuals

We all know the expression: a picture is worth a thousand words. Sometimes it can be difficult to explain a concept or idea with words. In these cases, adding a graphic, photo, diagram, or another type of vision can help convey information more quickly and easily.

That being said, keep in mind that visuals should not be abused as they can quickly become obsolete (especially software or application screenshots) and may require a lot of updates. over time.

Put your text on page

The layout can have a real impact on the readability of your written documents. By using bulleted lists, headers, tables and appropriate margins, it will be much easier for learners to browse your material and find what they need. Before you publish your projects, take a closer look at how you can improve the layout of your text to make it more organized and readable.
