Challenges Faced To Be A Productive Team
I am planning to write a book regarding about self improvement and exploration on the career path and also management, something like a surviving kit. From now on, I will be writing bit by bit about my personal take and experience in my work and other pursuance then compile them into one.
Yesterday had a productive meeting together with my other colleagues. As I am based in Selangor, some of the projects I need to travel to Johor to coordinate with my other colleagues to ensure smooth execution. To be honest, there are a lot of challenges in such a procedure, but it is beneficial for our future operation since it will gradually improve.
The most significant challenge will be information transfer. During a meeting, different people will have different interpretation on the meeting input, especially technical and non-technical person. This will result in different information transfer to the production line and causing some misinterpretation on the meeting’s decision. Unfortunately, this had happened in some of the projects and it is important to tally the meeting minutes with the project manager before we proceed with any amendments for the project. Another thing is that, during the meeting, it is best to have a short and clear decision on each component needed for amendments. This will make the minute record to be as precise as possible, as not all the time the minutes' recorder is a technical sound individual. Some terminology will not be able to understand by them and this will cause serious error in future works.
Another point is that the team must have a post-mortem after every client meeting to coordinate and distribute all the tasks needed to be done. A checklist of tasks is a must whereby all of the team members will be clear on their scope of work and also can help to coordinate with others’ work. Although it seems redundant to go through all components together as some of the components may not relate to our own scope, it is vital to understand the process and steps to achieve a smooth execution. Sometimes, there are critical components that need to be done before other tasks can proceed, which has to be highlighted to all the members.
