Guidelines for the management of corrective actions

Greetings dear fellow members of the "Project Hope" community, I hope everyone is very well, it is a pleasure to share with you this post, this time I want to address a topic that I consider very important in any organization, as is the importance of taking corrective actions.

In the quality management system, the criteria for the management of corrective actions derived from nonconformities evidenced in the quality management system must be defined, so that their causes are identified, analyzed and eliminated, and the necessary activities are established to prevent them from occurring again.

From internal and external audits, inspections to the quality management system, the presence of a nonconformity can be evidenced as a result of a structural problem, which if not eliminated will continue to produce failures in the system, therefore this problem requires an investigation to find the root cause.

Corrective actions are a means used in organizations that work under quality standards to solve problems in a methodical way, without having to practice continuous monitoring or perform complex tasks, making an adequate use of economic, time and human resources.

Certain criteria can be evaluated to know if we are facing a problem that requires corrective action:

  • Results of quality indicators: one must be attentive to the results of the indicators of the quality objectives. They will show if the processes are working correctly.
  • Records: recurring problems can be evidenced in the records and require investigation to determine the magnitude of the errors found.
  • Employee reports: reports, complaints, employee notes of recurring problems are a sign that corrective action is required.
  • Results of internal and external audits of the quality management system: audits are the main source of findings that determine corrective actions to be taken.

Once the nonconformity has been identified, it is important to carry out an investigation to determine the root cause of the nonconformity and determine the corrective action, then design an action plan, which specifies the steps to be followed to correct the nonconformity from its origin and those responsible for carrying out the plan with the estimated time of compliance.

Verification of the effectiveness of the implemented actions is the next step, in order to verify that the established actions have been carried out correctly and have effectively solved the problem detected at the beginning. The follow-up of the corrective actions must be documented by the quality manager.

To conclude, I could say that in most organizations, do not give due importance to taking corrective actions, often momentarily solve the nonconformity without conducting an effective analysis of the root cause of the problem, to determine a successful action plan, thus generating failures in its management system.

What is the use of putting warm water cloths to calm the fever, is it not better to do tests and determine what the root cause is and give the appropriate treatment to eradicate it?

This is what happens in any organization. It is better to go to the bottom of the matter and correct what needs to be corrected, thus avoiding the spread of the evil in time and other members.
