Proper documentation: The importance of it in business

All business requires proper documentation so as for them to see something they can fall back to incase there is need to do so. You might over look this and thinks you don't need it. If you thinks so, you are indeed getting it wrong. And if you fail to keep proper record, get yourself prepare for challenges on former record when there is need for it.

How do you feel when you log into hive and saw your post there or how do you feel when you go to the library and you see materials that you are looking for there? What about entering facebook and you see's your photos there. You are happy right? This shows documentation is good. Sometimes when I log into facebook, I will see my pictures of about eight (8) years ago with facebook reminding me of my memories. When ai check the pictures, you will see me laughing so hard because there is a very big changes between then and now referring to my life. I had to praise the Lord for the amazing work he hws done in my life. The transformation is massive.

So, judging with the above, you can see that documenting when it comes to anything in life is very important. Let me add to it, how do you feel when you read books about some heroes last? This book were written by someone who decides to put down record because he/she knows that if he/she dies, he/she will die with good record which others will not know because it wasn't documented. Since they wrote it down, people were able to see's it and up till date those history books are what we are still reading to gain knowledge of the past and how life was it then. I just don't play with record keeping. I asked a lady who is into petty business while is she not keeping record, she laugh and said she doesn't needs it. She said why will she keep record of such little business. She doesn't knows that this is how she will knows if she is making gains or loss.

After giving her this advice, she over look it and thinks it is not relevant. After two (2) weeks into the business, she started complaining that she struggling with some certain things. I told her did you document, she said No. I told her she better start doing that right away. She took my advice, record every sales made and also what she purchases. She did it and she was able to understand her business properly.

Don't over look documentation and think you don't need it. You need it i should incase your customers bought goods from you but they decided to keep paying instalmentally. If you don't have record you might thinks they have completed their payment not knowing they haven't. In other not to create a loop hole in your business or kill your business you should not play with record keeping. When you document you will quickly spot if you are making gains or not.

Another good part of documentation is that with it you can quickly know if you should buy some product or not. For those running big companies, if you take record of a particular item you bought, let me say you bought 20 pieces of a particular cloth, when you started selling from it, you will keep writing how many unit you have sold from it so far. You will keep doing this not untill you notice that you have just five (5) unit of the item left. With this you can quickly make an order.

I have seen people who criticize this act because they thinks it is stressful and not worth doing. They don't know that documentation has so many importance, they only realized when they encounter some problems along the line.

• Proper record keeping: When you properly keeps record, you will be to easily spot what you are looking for and also it will give you clue of past record.

• Progress: With good record keeping, you will be able to know the progress of your business. This will show you if you are on profit or loss.

• Guide: When you keep proper documentation, it will help to guide you in making business decisions.

I think with the few importance of documentation listed above, we can now spot how it is vital to keep record. I will end the importance here.
