Constant VS Flexible: How to Manage Time Efficiently

Today’s output for my learning is about time management whereby we can strategize our daily tasks into constant and flexible categories. For instance, constant work can be the routine tasks that we will be doing most of the time, like replying email, replying messages, setting schedule, setting meeting agendas, data documentation and etc. All of these repetitive works can be done in an efficient manner whereby we should record down how much time we will spending on these tasks. Knowing that we can improve the productivity by cutting the time used for the constant type of tasks, we can even further improve by justifying the growth value and also the profitability of doing such constant and repetitive work. With that we know which tasks can be tweak to generate more value to our life.

Like in @archisteem, there are several constant tasks that can be made into system like the daily and weekly reports for the project, curation comments, curation recording, marking for season winners and some artworks. While knowing all of these tasks are essential to keep the initiative going and active, the team also strive to improve the efficiency in doing these repetitive works with minimal time and maximum productivity.

As for flexible work, it can be tasks like finding new story tellers, curators, editors and graphic designers. Replying the comments by the authors is also done manually by the @archisteem team as well. This is due to that all the tasks mentioned need customized human touch to increase the friendliness and sincerity to the community members. Besides, each authors may have different requests and questions on different matters which need the core team to deliver answer to them. For this, we only set that @archisteem shall reply all comments by the community members without fail.

Even though I categorize these tasks as flexible ones, these tasks are still considered as partially flexible as it is still routine tasks that needs to be attended daily. Thus, the real flexible tasks are like brainstorming to improve the system, coming up with new collaboration, create new contest events and even find ways to increase the initiative values (like stakes, influence and etc). These tasks will require time and effort in order for the team to achieve some breakthrough for the initiative. Without that, we will be forever stuck with what we are now, which we do not want to happen. Hence, we are hoping to keep growing and have the session time to time. That is why, we always keep the constant tasks to be as clean and swift as possible to make time for those flexible ones which will in turn direct @archisteem to a better positioning.

This also applies to businesses and personal management. I will be doing this time to time as well to see how productive I am as an individual handling my own chores.
