10 rules of effective office life.
Sometimes, turning over in my head the job that you need to perform, I want to shout "and a lifetime is not enough!". But really it's not so tragic as it seems at first glance. And the secret is that all this endless sea of Affairs should be properly distributed in time. This will improve performance, as well as perform tasks with the greatest impact, and, most importantly, the right to use the most valuable resource – time. The ability to organize and manage your time, plan it productively is a whole technology called time management.
Anyone who decided to use their time with maximum efficiency, will help elementary basic rules of time management.
- The first rule-to avoid man-made over-voltage to remove unnecessary factors of influence, whether phones, communicators, tablets or even computers – they overload the brain with unnecessary information and contribute to the dispersion of attention. And the use of many, sometimes unnecessary, functions of all these modern benefits of civilization can simply take away the lion's part of the day's work.
Therefore, it is necessary to reduce such functions to the required minimum and not dissipate into secondary and not important things.
- Rule two-do not be distracted by "electronic conversations" on the Internet, typing long messages, if it is possible to have a conversation on the phone, and even more so if the subscriber is sitting in the office next door. Such correspondence strongly sprayed attention, distracting from their work.
- Rule three-do not deny yourself short breaks throughout the day. It will be enough to distract for a few minutes from work to look away from the computer and relax, no harm will do a little breathing exercises. After such respites will be much easier to work with.
- The fourth rule is to keep a diary and start planning your day every morning. It is important to make long – term plans, register lists of important things-planning allows you to focus on really important things and quickly navigate the schedule of the day.
- The fifth rule in the daily planning to prioritize scheduled tasks to distribute priority tasks and those whose fulfilment it is possible to postpone or reschedule. It is important to plan the approximate time for their implementation, and the priority tasks to try to move to the first half of the day, when the productivity of their implementation is highest.
- The sixth rule is to avoid overlapping tasks or, in other words, multitasking. Do not try to do several things at once, no matter how easy at first glance they do not seem. It is more effective to execute them consistently, having allocated for this purpose time since morning or at the end of day that throughout working hours they did not distract from the main work.
- The seventh rule is to refuse to solve unexpected tasks, except in emergency cases. At least until the currently scheduled work is completed. If the work is supposed to be voluminous – it is better to divide it into stages – then smaller things can be done between them.
- Rule eighth – if you have creative work, it is better to do it in complete silence, which will most contribute to the emergence of ideas-all distractions are better to exclude (eg, turn off the phone).
- The ninth rule is to refuse a direct meeting (whether an employee, contractor or just a colleague), if the issue can be resolved faster by phone or e-mail.
Last but not least – cleaning the work space. This can be done at the end of the day, put the documents in place, throw away unnecessary papers and working notes that have lost relevance. The necessary object in the working process will always be easy to find in your place. After all, a tidy Desk is a tidy mind.
